EAD Volunteer Roles
Please click on your volunteer role below to learn more about your duties/expectations during the event:
ADA Elevator Attendant
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: Volunteer Check-in West (Olympic Cauldron) is the closest volunteer check-in for this position, but you may also check in at Gate J/K
- Volunteer Location: You will stand right in front of the doors for the Gate E lobby
- Volunteer Role:
- Help guests needing ADA accommodations use the elevator to get up to the concourse level
- If ADA guests are looking for field access, please show them down the tunnel area where they can get onto the field; this tunnel can be accessed by a door just beyond the elevators in the lobby of Gate E
- Ensure that no one is entering or exiting through Gate E; please direct any guests to enter at Gate D just a bit further south of your location
AM Set-up
- Volunteer Shift: 7:45 am – approx. 9:45 am
- Where to Arrive for Check-in: Please check-in at the Volunteer entrance at the Olympic Cauldron off the main stadium parking lot; Gate J/K’s volunteer entrance will not be available at this time
- Volunteer Roles: There are several AM set-up roles that you could assigned including:

- Volunteer entrance set-up:
- You will assist the Volunteer Check-in Leads in prepping for the arrival of all volunteers throughout the day at both our west volunteer check-in (Olympic Cauldron) and the east volunteer check-in (Gate J/K); you will organize volunteer t-shirts by size, red serving aprons/name badges for U of U leadership, and volunteer assignment cards by duty for easy pick-up
- Volunteer entrance set-up:
- Concessions set-up:
- You will assist the Concessions Leads in prepping concession stands for the day; the concession stands we will prepare are Stand 33 and 36 on the east side of the stadium. This includes stocking the concession stands with ice, water, cups/lids/straws, arranging fruit and pre-filling soda cups so guests can easily grab and go
- Activity Set-up:
- You will ensure our various activities are set-up for the day, including helping library staff set up the Hooked on Books area and setting up our Service Project area as well
- Entrance Gate Set-up:
- You will assist our Entrance Gate Leads for the arrival of guests through Gate D (west entrance) and Gates J/K (east entrance). You will open up boxes of tote bags and stuff them with guest meal tickets so that we can hand them out to guest as they arrive, set-up any necessary signage, and start maintaining lines as guests start to line up around 10 am

Concessions Fruit & Drink Server
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: The closest volunteer check-in for the concession stands is the east Entrance Gate J/K, but you may check in via the West volunteer entrance (Olympic Cauldron) as well
- Volunteer Location: Either Concession stand 33 or 36 located on the east side of the concourse
- Volunteer Role:
- Hand out fruit to guests (limiting one piece per person)
- Utilizing the provided soda fountains, restock sodas for guests to grab and go; ideally, you will have drinks constantly stocked to help with the flow of the line
- Keep ice stocked
- Help monitor pizza deliveries – there is a separate team of volunteers in charge of making pizza deliveries to the concession stands, but please help in communicating pizza needs to them
- As guests enter or leave the line for their meal, inform them they can enjoy their meal in the stadium seats just beyond your assigned portal (portals 34-36)
Crafters Corner
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: Please check-in at either Volunteer Check-in West (Olympic Cauldron) or East (Gate J/K)
- Volunteer Location: The Crafters Corner is located on the southern end of the concourse
- Volunteer Role:
- Help maintain orderly lines for guests waiting to purchase or participate in a Crafters Corner DIY or demonstration
- Check in with Crafts Corner vendors - bring them water, food, etc. or give them a break by sitting at their booth for them
- Assist with anything the Crafters Corner Lead needs help with
Event Photography
- Volunteer Shift: 10 – 12 pm or 12 – 2 pm
- Where to Arrive for Check-in: Please check-in at either Volunteer Check-in West (Olympic Cauldron) or East (Gate J/K)
- Volunteer Location: You will roam the event throughout your shift, ensuring you hit all major areas (concourse, football field, concession stands, guests participating in activities, etc.)
- Volunteer Role:
- Snap photos! There are no specific shots needed or required, but take as many as you can!
- Ask guests to pose for shots (Ublock hands is a good one!) and take candid shots too
- Send edited photos to Event Lead shortly after the conclusion of the event (usually within one month)
Football Field Goal Kick
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: Please check-in at either Volunteer Check-in West (Olympic Cauldron) or East (Gate J/K); to get down to the field level, please use the stairs beyond portals 34-36 (east side of concourse) or via the stairs to the north tunnel (west side of concourse)
- Volunteer Location: This year, both field goal posts will be utilized for the football field goal kick;
- Volunteer Role:
- Help maintain orderly lines for guests waiting in line to kick a football; ensure that guests are only kicking 1-2 times to allow for others a chance to do so
- Working as a team, pump up footballs using supplied pumps, set-up balls for kicking and retrieve them after they have been kicked
- Help security guards enforce no food or drink on the field; ask guest to throw away their food/drink prior to entering the field
Guest Entrance Gates
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: Please check-in at either Volunteer Check-in West (Olympic Cauldron) if you are assigned to the West entrance gate or East (Gate J/K) if assigned to the East gate entrance
- Volunteer Location: If a West gate volunteer, you will make your way to Gate D after checking in; if you are an East gate volunteer, remain at Gate J/K where you checked in
- Volunteer Role:
- Greet and welcome guests as they arrive! Thank them for their amazing work!
- Assist with guest check-in:
- Direct them to scan the QR code located on a sign near the entrance gate; they will need to input their UNID and CIS password to ensure they are a U of U employee (Note: this includes student employees). If approved, they will show you a “You are approved to attend” pop-up website or email on their phone
- If a guest did not bring a phone for check-in, please direct them to the Guest Entrance lead in your area who will look up their UNID online to ensure they are an employee
- If you run into wifi issues and guests are unable to login using the QR code method, please have guests show you their Ucard for entry
- Hand out tote bags
- Ensure guests receive 1 red meal ticket – please explain that this ticket is good for either pizza or a sandwich
- If you are assigned to the West entrance – please show guests who require ADA accommodations to the stadium lobby where they can use elevators to head up to the concourse
Hooked on Books
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: Please check-in at either Volunteer Check-in West (Olympic Cauldron) or East (Gate J/K)
- Volunteer Location: Hooked on Books is located on the southeast corner of the stadium near Gate L [NEED TO CONFIRM FOR THIS YEAR]
- Volunteer Role:
- Help maintain orderly lines for Hooked on Books area; avoid lines overcrowding so that the path is blocked by guests trying to get through this area
- Help restock books throughout the event, and help guests select a book to take home with them
- Assist with anything that the Marriot Library volunteers may need help with
Inflatables & Yard Games
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: Please check-in at either Volunteer Check-in West (Olympic Cauldron) or East (Gate J/K)
- Volunteer Location: Sidelines of the stadium field; to get down to the field level, please use the stairs beyond portals 34-36 (east side of concourse) or via the stairs to the north tunnel (west side of concourse)
- Volunteer Role:
- Help maintain orderly lines for our inflatable basketball toss game, corn hole, giant Connect 4, and giant Jenga
- Ensure that guests are limiting their time playing to 1 game/15 minutes of play to ensure all guests in line get a turn
- Help security guards enforce no food or drink on the field
PM Clean-up
- Volunteer Shift: 2 pm – 4 pm
- Where to Arrive for Check-in: Please check-in at the Volunteer entrance at the Olympic Cauldron off the main stadium parking lot
- Volunteer Roles: There are several clean-up roles that you could assigned including:
- Golf Cart User: You may be assigned to drive a University golf cart to bring supplies from vendor’s tables back to their cars in the stadium parking lot.
- Push Cart User: You may be assigned to use a push cart to bring supplies from vendor’s tables back to their cars in the stadium parking lot
- General Clean-up: This includes trash pick-up, collecting signage and supply tubs and bringing them back to the Olympic Cauldron volunteer entrance for final packing
Pizza Restocker
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: The closest volunteer check-in for this role is the east Entrance Gate J/K, but you may check in via the West volunteer entrance (Olympic Cauldron) as well
- Volunteer Location: Gate J/K – this is where the pizza delivery drop off zone is located off South Campus drive
- Volunteer Role:
- Work with pizza servers and Pizza restocking lead in our two concession stands to restock pizza as necessary
- Accept pizza deliveries and using rolling carts, bring pizzas to both concession stands 33 and 36
- Help throw away pizza boxes when they are empty, and return any “warm bags” back to the pizza delivery company
Putting with the Police
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: Please check-in at either Volunteer Check-in West (Olympic Cauldron) or East (Gate J/K); to get down to the field level, please use the stairs beyond portals 34-36 (east side of concourse) or via the stairs to the north tunnel (west side of concourse)
- Volunteer Location: Center of the stadium field
- Volunteer Role:
- Help maintain orderly lines for this activity
- Help security guards enforce no food or drink on the field; ask guest to throw away their food/drink prior to entering the field
- Help U of U Police volunteers with anything they may need!
Service Corner
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Where to Arrive for Check-in: Please check-in at either Volunteer Check-in West (Olympic Cauldron) or East (Gate J/K)
- Volunteer Location: The Service Corner booth will be set-up underneath a 10x10 tent on the southern end of the concourse
- Volunteer Role:
- Encourage and help guests in stuffing supplies (toothpaste, combs, etc.) into a hygiene kit and ask them to write words of encouragement via the supplied note cards
- Help maintain orderly lines for guests waiting to stuff hygiene kits – ensure guests are stuffing only 1-2 kit to make sure everyone else has an opportunity to do so
- Note: If you are the last shift of the day (1-2 pm) and there are still many kits to stuff, please start stuffing them yourselves! The goal is to stuff 1000 kits by the end of EAD
- Assist the SLC Rescue Mission staff with anything they may need help with
U of U Leadership – Pizza Server
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Parking: As a reminder, U of U leadership will be allowed to park in the reserved stalls in either the main stadium parking lot or the east parking lot; your name will be given to a parking lot attendant and you will also receive a parking permit that you should plan on bringing with you
- Where to Arrive for Check-in: The closest volunteer check-in for the concession stands is the east Entrance Gate J/K, but you may check in via the West volunteer entrance (Olympic Cauldron) as well
- Volunteer Location: Either Concession stand 33 or 36 located on the east of the concourse
- Volunteer Role:
- Thank our employee guests for their service to the University of Utah!
- Serve pizza to guests using supplied gloves, ensuring that you change them often
- Communicate with pizza restocking team when more or less pizza is needed
- FYI – you will be serving pizza alongside other employee volunteers managing drinks and fruit
U of U Leadership – Ticket Collector
- Volunteer Shift: 10 – 11 am, 11 – 12 pm, 12 – 1 pm, 1 – 2 pm
- Parking: As a reminder, U of U leadership will be allowed to park in the reserved stalls in either the main stadium parking lot or the east parking lot; your name will be given to a parking lot attendant and you will also receive a parking permit that you should plan on bringing with you
- Where to Arrive for Check-in: The closest volunteer check-in for the concession stands is the east Entrance Gate J/K, but you may check in via the West volunteer entrance (Olympic Cauldron) as well
- Volunteer Location: Either Concession stand 33 or 36 located on the east of the concourse
- Volunteer Role:
- Thank our employee guests for their service to the University of Utah!
- Collect red raffle tickets from guests in exchange for pizza or a sandwich
- Please keep tickets in the pocket of your red serving apron, which will be returned back to the volunteer check-in entrance when you are done with your shift
Vendor Check-in
- Volunteer Shift: 7:45 am – approx. 9:45 am
- Where to Arrive for Check-in: Please check-in at the Volunteer entrance at the Olympic Cauldron off the main stadium parking lot; Gate J/K’s volunteer entrance will not be available at this time
- Volunteer Roles: There are several Vendor Check-in roles that you could assigned including:
- Golf Cart User: You may be assigned to drive a University golf cart to bring supplies from the parking lot onto the concourse.
- Pushcart User: You may be assigned to drive a rolling pushcart to bring supplies from the parking lot onto the concourse.
- General Vendor Set-up: You may be paired with a golf cart user or a push cart user to help bring supplies from the parking lot onto the concourse. If vendors require extra help in setting up their table on the concourse, you will be their primary contact.
- Vendor Lead’s Assistant: You will assist the Vendor Check-in Lead in checking off vendors from our master list as they arrive in the parking lot. Essentially, you will help to make sure that the reserved stalls we have in the main stadium lot are for vendors only, and not for students, guests, faculty, etc.
Volunteer Entrance/Check-in
- Volunteer Shift: 9:30 – 11:30 am or 11:30 – 1:30 pm
- Where to Arrive for Check-in: Please check-in at whichever Volunteer check-in entrance you have been assigned; this will be either the West Volunteer entrance at the Olympic Cauldron or the East volunteer entrance at Gate J/K
- Volunteer Location: You will remain at the Volunteer entrance you’ve been assigned throughout the duration of your shift
- Volunteer Role:
- Use master volunteer list to check-in volunteers as they arrive at their 10 am, 11 am, 12 pm or 1 pm shifts
- Have volunteer sign off next to their name
- Ensure they grab a volunteer t-shirt if needed; they may keep their shirt at the end of their shift
- Ensure that U of U leaders/VIPs check in and grab their name badge + red apron – ask them to return both at the end of their shift
- Ensure volunteers receive a red raffle ticket to redeem for their meal later
- Hand out volunteer assignment cards to remind them of their duties
- Hand out free tickets to volunteers to thank them for their service
- Use stadium map to direct volunteers to their assigned area
- Use volunteer role descriptions to ensure all volunteers understand their duties and answer any questions they may have
- If a volunteer does not show up for their shift, this group of volunteers will need try and fill the role as best as they can – either by volunteering themselves or finding someone from the planning team to fill in
